  • Identify and implement documentation rules that apply to behavioral health clinicians in private practice Including structuring clinical notes, psychotherapy notes and treatment plans
  • Learn and understand the purpose of being intentional with documentation best practices in implementing a self-audit protocol for your practice
  • Learn, understand, and utilize your EHR to ensure documentation and billing compliance.
  • Gain a deeper understanding of case conceptualization, documentation, practice ethics and compliance through group/pairs discussion, and creative experiential exercises
  • Need help creating a standardized form that will assist in compliance that is unique to your practice.
  • Need to know what to do WHEN you get that dreaded audit letter.

This experiential workshop, based on real audits, MCO manuals, and CMS best practices, will give you the tools and strategies you need for a
STRESS-FREE AUDIT.

In this training you can expect to:

  • Understand standard documentation guidelines for psychotherapy notes, session notes and treatment plans: Defining the difference between the types of notes:

    • DA, SOAP, Clinical note, Psychotherapy notes.
    • How much Is too much in a note?
    • DA and Session frequency requirements.

  • Creating a unique standardized form that will assist in compliance.

  • Understand ethical considerations when creating and storing client documentation, the basic structure of a self-audit, and necessary documentation that must reside in a client file

  • Understand Telehealth documentation requirements and how it differs from paper files.

  • “Do’s” and “don’ts” of diagnosing clients and documenting medical necessity for treatment.

  • Use of appropriate language in clinical notes and treatment plans.

  • Incident to billing requirements.

  • Understand exactly what to do when you get that dreaded audit letter.

    8:30 AM-9:00 AM Registration/Check-in and Networking Meet and Greet
    9:00 AM-9:15 AM Introduction of the presenter and intro to the STRESS-FREE AUDIT.
    9:15 AM – 9:30 AM Pre-Quiz – What do you know/believe about insurance audits?
    9:30 AM-10:00 AM Documentation Overview: Examine the general principles of commercial insurance/Medicaid/Medicare Provider Manuals requirements for documentation and billing best practices.
    10:00 AM – 10:15 PM Short Potty Break


    10:15 AM – 11:15 PM Experiential Small Group Break-out. Role-Play a Case Session: Observers will write a DA, Treatment plan, SOAP, and Psychotherapy note using their existing documentation practices/forms.
    11:15 AM – 12:00 PM Documentation (Continued): Defining DA Clinical Notes, Psychotherapy notes, and Treatment Plans and creating ethically compliant notes. Discuss why EHR templates don’t always have what Is required.


    12:00 PM – 1:00 PM Lunch Break - (Lunch is included)


    1:00 PM – 1:45 PM Small Group will self-audit Case Session and notes, receive feedback from others re: completeness, peer audit with provided audit tool, and discuss ethical concerns.


    1:45 PM – 2:15 PM Large Group discussion re: small group audit. How did the audit go? How did your existing documentation do? What was learned/gained? What could improve? Why is this important?
    2:15 AM – 2:30 PM Short Potty Break


    2:30 PM-3:00 PM Ethical guidelines and implications for record-keeping, storage (electronic and paper), legal consequences of non-compliance, Telehealth rules/laws/platforms.


    3:00 AM – 3:30 PM Billing Ethics: Billing companies/Billers outside of practice, Claims submission Best Practices, and ethical compliance.
    3:30 PM-4:00 PM Questions, final discussion, certificates and survey.
